Vendor Terms & Policies

Application & Acceptance: Submission of a vendor application does not guarantee acceptance or reserve a vendor space. Applications will be reviewed to maintain an appropriate and diverse mix of vendors. Micdar DFW Small Business & Vendor Expo reserves the right to approve or decline applications and determine vendor placement.

Booth Fee & Confirmation: The vendor booth fee is $75. Approved applicants will receive payment instructions by email. A vendor space is not confirmed until the booth fee has been paid in full. Vendors should not submit payment before receiving approval.

Cancellation & Refund Policy: Vendor cancellation requests must be submitted in writing. Cancellations received on or before January 31, 2027 are eligible for a refund of the vendor booth fee. Beginning February 1, 2027, all vendor booth fees are nonrefundable. Vendors who fail to attend the event without prior cancellation (no-shows) are not eligible for a refund.

Setup & Event Hours: Vendor setup is 7:30 AM–9:30 AM on Saturday, March 20, 2027. Setup must be completed before doors open to guests at 10:00 AM. Vendors are expected to remain set up and operational until the event concludes at 2:00 PM, unless otherwise authorized by the event organizer.

Booth Assignment: Vendor locations and room assignments will be determined by the event organizer. Specific booth locations are not guaranteed. Vendors may not transfer, share, or resell their assigned space without prior approval.

Products & Services: Vendors may only sell, display, or promote the products and services disclosed on their approved application. Material changes or additional products/services must receive approval before the event.

Food & Beverage Vendors: Food and beverage vendors are responsible for complying with applicable health, food-safety, permitting, licensing, and venue requirements. Required permits or certifications must be provided when applicable.

Vendor Responsibility: Vendors are responsible for their merchandise, equipment, displays, money, personal belongings, and booth operations. Vendors are also responsible for any damage caused by themselves, their employees, representatives, equipment, or displays.

Event & Venue Rules: All vendors must comply with DeSoto Civic Center requirements and event-organizer instructions. Unsafe, illegal, disruptive, or unauthorized activities are prohibited.

Giveaway Participation: Participation in Expo giveaways is voluntary. Vendors who choose to donate an item, service, or gift certificate will receive additional giveaway instructions after their booth is confirmed.

By submitting a vendor application, you acknowledge that you have reviewed and agree to these Vendor Terms & Policies. Additional event-day instructions will be provided to approved and confirmed vendors.
